We are dedicated to creating a personalised service for our clients, which is why Jan personally looks after all Virtual Reception clients..

We have found that each clinic's needs can vary quite considerably, so the services listed below are an example of what we offer.  Tasks outside of Reception duties will be charged at our hourly rate.
PRACTICE MANAGEMENT SERVICES

Review of current Halaxy Settings

 $300.00 (sole traders)

Review of your current Halaxy file, covering the following:
 

  • Clinic hours and practitioner appointment schedules

  • Location Settings 

  • Letterheads and email signatures

  • Fee structures and Medicare rebates

  • Communication templates

  • Intake forms and consent agreements

  • GP letter templates

  • Reminder automation settings

  • Two-way SMS reminder functionality
     

 

Following the review, we will provide a report outlining our findings and recommendations to help streamline your administrative processes.

Implementation of Review Findings 

 $65.00 (per hour)​

Should you decide to proceed with implementing the proposed changes, the work will be charged at a rate of $60 per hour.
 

Our process starts with an initial invoice for a 6-hour block, payable in advance. We will carefully track our time and keep you updated throughout the process to ensure transparency and that we are aligned with your requirements. Any additional time required will be discussed with you beforehand and invoiced only with your approval.

Setup of New Halaxy File

$65.00 (per hour)

  • Create Clinic Profile

  • Setup location 

  • Create Practitioner Profile 

  • Ensure Practitioner Verification with Halaxy (if appropriate)

  • Create Fees and billing codes 

  • Enter Funder Details 

  • Recreate letterhead for letters, reports and invoices (within Halaxy’s capability)

  • Setup Client Reminder Preferences

  • Create/Amend Communication templates (including GP letters and reminder emails)

  • Create Online client intake forms 

  • Create Clinical Notes/Templates 

  • ​​Setup automatic top up of Halaxy credits (if applicable)

  • Two-way SMS reminders

Adhoc Halaxy Tasks
 $65.00 (per hour)

 

  • Recreate letterhead within Halaxy

  • Create email signatures

  • Entering MHCP details into client files

  • Chase unpaid invoices

  • Troubleshoot and rectify Halaxy errors

  • Request CC details from clients

  • Appointment Reminder setup

  • Intake Form and Template Creation

  • Campaign creation

  • Adding new locations or staff members (users)

  • Assist with setting up online bookings

  • Archiving unused fees

  • Updating the status of clients

  • Assistance with making changes to Wix websites
